The challenge
Under the Ministry of Health's COVID-19 guidelines, anyone entering the hospital who wasn't a patient counted as a visitor and had to sign in and out. At the start of the pandemic Barzilai received about 1,500 visitors a day, and the number soon climbed to more than 20,000 a week.
The hospital had failed the Ministry of Health's COVID audit and needed an electronic visitor management system, fast. With budgets tight at the time, the hospital's CIO was looking for a robust, effective solution that stayed within budget.
We failed the Ministry of Health's COVID audit. We need a robust, COVID-safe electronic visitor management solution.
The solution
Barzilai Medical Center implemented our Microsoft 365 visitor management solution in one week, together with all-in-one kiosks for on-site check-in. Staff checked in automatically through a mobile app.
The system pre-screened all visitors, staff and other visitor types, captured the information required during COVID-19, and tailored the check-in experience to each visitor type. It also identified visitor types quickly and kept accurate records of the hospital's activity.
What we built
-
Microsoft Power Apps
Visitor management app
We built a Power Apps app with SharePoint as the back end, to filter, select and prioritise visitors, with a simple process for department staff.

Microsoft Power Automate
Automatic check-in
A Power Automate flow checked people in automatically. All the data was recorded and analysed to improve the flow of visitors and staff.
Details Automatic check-in -
Built for mobile
The whole system was designed for mobile: staff worked comfortably, and visitors checked in in real time without needing a computer.
The results
The system let the hospital identify every visitor type and capture the right information for each. About 11,000 staff check-ins a week went through the mobile app, and all other visitors checked in contactless with a QR code.
The system kept the hospital compliant with the Ministry of Health's changing COVID-19 guidelines, saving thousands of dollars in unnecessary fines and patient complaints.
